Tips to Help You Find the Perfect Venue

Tip #1: Stick Within Your Budget.

You will want to do your research on the event venues within your area. What is around you? What is around the people you are trying to market to? Remember, this is a branding event! However, there is nothing to be gained by looking at venues that are WAY outside of your budget (unless you're looking for great ideas). You don't to fall in love with a venue that you cannot afford. Choose a budget and stick to it.

Tip #2: Book Your Perfect Venue early.

In the events world, booking your location for an event is crucial. Other than the main reason why you're hosting the event, the location is one of the first decisions you need to make. This one decision will have a great impact on all your other decisions. An amazing venue will save you on marketing costs and decorations. When you book your location earlier, there are more dates available. Sometimes, the venues will give you a better price if you book early.

Tip #3: Ask the Right Questions

When you are looking for the perfect spot for your branding event, you will want to make sure you ask the right questions before you book your venue. The key is to make sure the venue has everything you need for your event. Here are some questions you will want to ask the venue staff when you do a site-tour.

  • What is the parking situation?
  • How many venue staff are on site of my event?
  • Are there are any preferred vendors?
  • Can I bring outside vendors in?
  • How early can I get in the venue to set up?
  • What is the maximum occupancy for this location?

Make sure to create a list of questions that you will want to ask that are specific to your event. You do not want to find out later that you can't do something you want to do after you have already signed a contract and paid the deposit fee.

Tip #4: Plan Ahead!

Don't wait until the last minute to throw an event together. Plan as much as you can ahead of time. Whatever can be done before the day of the event, do it! After booking any event space, there will be things you need to send before the day of the event. Get those things to them as early as possible! This would include the set up of the event, any tech needs, and any vendors you have coming in.

Make sure to book all the vendors needed (Bar service, catering, photobooth, servers, coordinators, etc.) and get that information to the event venue. The more you can have planned out ahead of time, the better!
